How to Create a Ringless Voicemail

Add a ringless voicemail (aka voicemail drop) to your automated follow up campaign.

Add a Voicemail to Your Campaign Resource Library

  1. Go to the Campaigns > Resource Library > Voicemails.

  2. Click to Add New Voicemail.

  3. Follow the onscreen instructions to create a voicemail, such as entering a name and assigning it to a category group.

  4. Select if you will be uploading an audio file (mp3, .wav, or .m4a file types are accepted), or recording a new voicemail via phone / call-in.

  5. If uploading a file, simply upload the audio file and click Save Voicemail.

  6. If recording a new audio file via phone, then follow the on-screen instructions. You will need to call in from a valid phone number, which is saved in your Account Profile, otherwise your PIN will not be accepted.

  7. Follow the instructions when you call in, and enter the PIN #. After the beep, record your voicemail.

  8. Press # when done, to save your voicemail, (if you make an error and need to try again, click to cancel and start the process again).

  9. When you finish and hang up, click My Call is Complete.

  10. Your audio recording should be detected.

  11. Click to Save Voicemail to finish and save it to your Voicemail library.

Adding a Voicemail to an New or Existing Campaign

When creating your campaign, you can add a voicemail event and choose to use an existing voicemail or create a new one. 

To add a voicemail to your campaign, do the following:

  1. Go to Campaigns > Manage Campaigns.

  2. If adding to an existing campaign, find the campaign you want to add the voicemail to.

  3. If you're adding to a new campaign, click to Create a New Campaign. Follow the instructions until the campaign is created.

  4. Click to Manage Campaign Events.

  5. Click to Add New Campaign Event (it will be located after the last event of the campaign).

  6. Select Voicemail.

  7. Click to Continue to Next Step.

  8. Choose the delay until the event occurs.

  9. Select an existing voicemail you would like to use, or Upload a New Voicemail.

  10. If Uploading a New Voicemail, follow the on-screen instructions (see above article steps 2-11 for step-by-step instructions).

  11. When done, click to Add Event.

  12. The voicemail event will now be added to the campaign.

Note: If you are attempting to test a ringless voicemail to your own mobile phone, keep in mind you cannot send a ringless voicemail to yourself. If the caller ID in the Campaign Configuration wizard is also the number of the contact, the voicemail will fail. This will be logged in the contact record, and the Campaign Event Logs.

Known Issues for Firefox Users

If you are using Mozilla Firefox as your default browser and are uploading a custom audio recording in .WAV format you may run into playback issues once uploaded into your LinkU Dashboard.  This will not impact the delivery of your recording or how your prospect hears it on their phone.

Firefox has problems with the .WAV file format. For reasons outside of our control, Firefox isn't capable of playing all file types of audio recordings. If you are proficient with audio software, try saving your .WAV file to "PCM Signed, 16-Bit, Stereo" which should be fully compatible with Firefox. If you are not proficient with audio software, the easiest solution may be to save the file as an MP3 or use the option in our system to record using your phone.
